Privacy notice
How Sultan Kudarat State University uses your information when you apply for the Tertiary Placement Test (TPT), and what you can do about it.
Last updated October 30, 2026 (version 2026-10) · SKSU Tertiary Placement Test
In short
- We collect only what we need to run the test: your details, school, program choices, photo, payment, exam slot and result.
- Only SKSU staff who need it can see it. We do not sell it, and there are no ads or trackers in this app.
- We keep it only as long as the university's records rules require, then delete it.
- You can download a copy, ask us to correct it, or ask us to delete it, from Account → My data.
Who we are
The TPT system is run by the Guidance and Testing Center of Sultan Kudarat State University (SKSU), SKSU ACCESS Campus, EJC Montilla, City of Tacurong, Sultan Kudarat. SKSU is the personal information controller: it decides how your information is used and is responsible for it.
What we collect and why
Each item has one job, and we do not use your information for anything else. People at SKSU review applications. The programs you qualify for are worked out by the system from your test scores and each program’s cut-off score, which SKSU sets; ask the office if you think something is wrong.
- Your name and email from your Google account
- To create your account, let you sign in, and send you notices about your application. We never see your Google password.
- Full name, birth date and sex
- To know who you are on exam day and on your result, and to check that you can take the test. Sex is used only in summary counts for University reports.
- Mobile number
- So the office can reach you about your application or your exam.
- Home address (province, town, barangay; street is optional)
- To contact you, and for summary counts of where applicants come from, which help SKSU plan.
- School, year graduated, strand, general average and honors (or, for transferees, your current school, course and year level)
- To check what kind of applicant you are, and for transferees, so the program chairperson can evaluate you.
- The programs you choose
- To place you after the test and, for transferees, to send you to the right chairperson.
- A 2×2 photo
- It is printed on your exam permit so staff can check that it is really you.
- Payment record (OR number, amount, date and counter)
- Proof that you paid the test fee, and the University’s accounting.
- Exam day, room, seat and check-in
- To run the exam and to know who took it.
- Test scores and the program you finally choose
- To give you your result and to admit you to a program.
- Survey answers about the test
- To make the test day better. Reports use only totals, never your name.
- Your support messages
- To answer your questions.
- Sign-in records: the time, your IP address and browser type, and a log of staff changes
- To keep your account safe and to know who changed what.
If you turn on phone notifications, your browser gives us an address to send them to. We keep it only to send your TPT notices, and it stops when you turn them off.
Why we are allowed to
The Data Privacy Act of 2012 (Republic Act No. 10173) lets us use your information because:
- you asked to take the test, and we need it to process your application;
- admitting students is part of what SKSU, a state university, is required to do by law; and
- you agree to it when you tick the consent box before you submit.
Your birth date, school records and test scores are sensitive personal information under the law. We use them only for your application and admission, with your consent.
Who can see it
Each person sees only what their job needs:
- Guidance and Testing Center and admission staff
- Your application, photo, payment, exam slot, scores and support messages: what they need to process your application.
- Cashiers
- Only your name, application code, program, campus, photo and payment.
- Program chairpersons and deans
- Only transferees who chose their own program.
- Proctors on exam day
- Only the names, examinee numbers and rooms of the people in their exam.
- Anyone who scans your permit’s QR code
- Your name, examinee number, exam day, room, seat and photo, to check the permit is real. Never your scores.
Staff sign in with their own accounts, and the system records every change they make to your application.
Where it is kept, and for how long
Your information is stored on SKSU’s server, rented from a cloud hosting company Singapore. Photos and files are stored privately, on the same server or with a file storage service (see Sharing), and only open through the app after a check of who is asking.
- Applications, photos, payments, scores and results: kept as long as SKSU’s records policy requires, then deleted.
- Applications started but never submitted: deleted after one year.
- Support messages, notices and logs: deleted after the same retention period.
- Backup copies made by the office are kept for 14 days and then replaced.
After the retention period we keep only totals with no names in them (for example, how many applicants came from each town), so SKSU can compare years.
Payment records that the University must keep for its accounting stay, but no longer show who paid.
If you are under 18
Many applicants are still minors. If you are under 18, please read this notice with your parent or guardian before you apply, and ask them to help you with any privacy request. If the office needs your parent’s or guardian’s consent, it will ask you.
A parent or guardian may make a privacy request for a minor by writing to the Data Protection Officer with proof that they are the parent or guardian.
Your rights
Under the Data Privacy Act you have these rights, and here is how to use each one:
- To be informed
- This notice. Ask us if anything is unclear.
- To see your data (access)
- In the app: Account → My data → Download a copy of my data.
- To take your data with you (portability)
- The same download is a file other systems can read (JSON).
- To correct it
- Before approval, edit your application. After approval: Account → My data → Correct my data.
- To object, or to have it erased or blocked
- Account → My data → Delete my account, or Stop using my data. We explain below what we must keep.
- To complain
- Write to our Data Protection Officer first. You may also complain to the National Privacy Commission (privacy.gov.ph).
- To be paid for damages
- If wrong use of your data harmed you, the law lets you claim damages.
Requests in the app arrive as a Privacy request in Support, and the office answers there within 15 working days. You can also write to the Data Protection Officer (see Contact us).
About deleting: once you have paid or taken the test, some records (your application, payment and result) must be kept until the retention period ends, because the University needs them for admission and for its accounts. We can close your account and stop using your information for anything else, and delete the rest. We will tell you exactly what we kept and why.
How we keep it safe
- Every page uses a secure (HTTPS) connection.
- You sign in with your own Google account; there is no password of ours to steal.
- Staff see only what their role needs, and every change they make is recorded.
- Photos and files are private and open only after a check of who is asking.
- Copies are kept so your data is not lost.
No system is perfectly safe. If a breach puts your information at risk, we will tell you and the National Privacy Commission, as the law requires.
Changes to this notice
If we change this notice, we update the date at the top. If the change affects how we use your information, the app asks for your consent again before you submit. Please also read our Terms of use.
